CANCELLATION, NO‑SHOW & PAYMENT POLICY

Prana Integrative Wellness Collective — Owned by Ei Growth (Nimir Raval)

1. Appointment Responsibility

All appointments are booked and managed through Jane App, which securely stores your information and processes payments. By booking a session, you agree to follow the policies outlined below.

Clients are responsible for:

  • Ensuring their contact information is accurate

  • Managing their appointments through Jane

  • Understanding their insurance coverage

  • Providing valid payment information

2. 24‑Hour Cancellation Requirement

To avoid being charged, cancellations must be made at least 24 hours before the scheduled appointment time.

Cancellations can be made directly through Jane App at any time.

Late Cancellations

Appointments cancelled less than 24 hours before the scheduled time may be charged the full session fee.

No‑Shows

If you do not attend your appointment and do not cancel, the full session fee may be charged to the credit card on file.

These fees cannot be billed to insurance and are the client’s responsibility.

3. Credit Card on File

Jane App requires a valid credit card to secure appointments. By booking, you authorize Prana Integrative Wellness Collective to:

  • Charge your card for session fees

  • Charge for late cancellations or no‑shows

  • Charge for services not covered by insurance

If your card declines, you are responsible for providing updated payment information immediately.

4. Prepaid Services

If you choose to prepay for services:

  • Prepaid sessions are non‑refundable

  • Prepaid sessions may be rescheduled with 24‑hour notice

  • Prepaid sessions cannot be transferred to another person

  • Prepaid sessions expire 12 months from the purchase date

Prepaid services cannot be reimbursed by insurance unless your plan allows it.

5. Insurance Coverage & Direct Billing

Prana Integrative Wellness Collective offers direct billing to many insurance providers that have an active contract with us.

Client Responsibilities

Clients are responsible for:

  • Confirming their own insurance coverage

  • Ensuring their plan covers Registered Social Worker (RSW) services

  • Ensuring their plan allows direct billing

  • Providing accurate insurance information

  • Paying any portion not covered by insurance

If your insurance provider denies or reverses payment for any reason, the outstanding balance will be charged to your credit card on file.

If Direct Billing Is Not Available

If your plan does not support direct billing:

  • You will pay for the session at the time of service

  • You will receive a detailed receipt for reimbursement

Prana is not responsible for insurance decisions, denials, or reimbursement delays.

6. Coaching & Mediation Services (Non‑Insurance)

Coaching and mediation are not clinical services and are not eligible for insurance coverage.

All coaching and mediation sessions must be paid out‑of‑pocket.

7. Independent Contractors & Third‑Party Providers

Prana Integrative Wellness Collective may collaborate with or refer clients to independent contractors or external professionals. These individuals are not employees or agents of Prana or Ei Growth.

Prana, Ei Growth, and Nimir Raval are not liable for:

  • The actions or omissions of independent contractors

  • Services provided by external professionals

  • Errors, negligence, or advice from third‑party providers

Clients engage with external providers at their own discretion.

8. Service Refusal

Prana reserves the right to:

  • Decline or discontinue services

  • Refer clients to more appropriate providers

  • Cancel appointments due to safety, ethical, or professional concerns

This is done in alignment with professional standards and client wellbeing.

9. Technology & Virtual Sessions

For virtual sessions, clients are responsible for:

  • Ensuring a stable internet connection

  • Being in a private, safe environment

  • Logging in on time

Technical issues on the client’s side may be treated as a late cancellation or no‑show.

10. Limitation of Liability

To the fullest extent permitted by law, Prana Integrative Wellness Collective, Ei Growth, and Nimir Raval are not liable for:

  • Missed appointments

  • Insurance denials

  • Payment failures

  • Losses resulting from cancellations or no‑shows

  • Actions of independent contractors

  • Technical issues during virtual sessions

Any liability is limited to the amount paid for the specific service.

11. Agreement

By booking a session, you acknowledge that you have read, understood, and agree to this Cancellation, No‑Show, and Payment Policy.
